How we work together,
and what protects both of us.

These are not small print. They are the foundation of a working relationship that is clear, professional, and enjoyable for everyone involved. Please read them before we begin.

Revisions & Amendments

Each piece of content includes one round of revisions (two rounds on the Momentum tier). A revision round means one consolidated set of changes submitted at the same time, not a series of separate emails. Additional revision rounds are charged at the ad hoc rate.

If a piece of content requires significant reworking due to a change in brief or direction after approval, this is treated as a new piece of work and scoped accordingly.

The Monthly Brief

Great content starts with a great brief. A simple monthly briefing document is sent at the start of each month and must be returned completed by the 1st. If the brief arrives late, deliverables for that month move to the following month.

 

There is no carry-over of missed deliverables caused by a late brief. This protects the schedule for everyone.

Approvals

All content is sent for approval before scheduling or publishing. If no response is received within 5 business days, the content is considered approved and may be scheduled.

Post-approval change requests are treated as a new revision round. If you want to hold content rather than publish it, please say so at the approval stage, not after it has gone live.

One Point of Contact

All briefs, feedback, and approvals must come from one named person. If feedback from multiple stakeholders is required on your side, please consolidate it before sending.

Receiving conflicting feedback from different people mid-revision is outside scope and will be treated as a new revision round.

Source Material & Assets

For content repurposing, you are responsible for providing the source material (recording, transcript, existing article, or post). If material is not provided by the agreed deadline, that repurpose does not happen that month. It does not carry over.

For landing pages and email sequences, any brand guidelines, imagery, or specific copy requirements must be provided at the start of the month.

Platform Access

Scheduling access to all required platforms (LinkedIn, email platform, website CMS) must be provided at onboarding. Delays in granting access delay delivery. One VA Solution is not responsible for delays caused by access issues outside our control.

Rush Requests

Any request that falls outside the agreed monthly scope, or is submitted with less than 48 hours' notice, is a rush request. Rush requests are charged at the ad hoc day rate plus a 25% uplift.

Rush requests are subject to availability and cannot be guaranteed.

Out of Scope Work

The following are not included in any Communications and Content package unless explicitly agreed in writing: graphic design and brand asset creation, paid advertising copy, video editing, podcast production, photography, PR outreach, and SEO technical audits.

Any out-of-scope work will be quoted separately before it begins. We will never start work outside your package without your written agreement.

Voice & Brand

Content is written in your voice based on the brief and any brand guidelines you provide. If you would like a full brand voice development exercise before content work begins, this is available as a separate project.

Developing your brand voice from scratch is not included within the monthly package.

Communication

All briefs, feedback, and project communication should come through one agreed channel (email or shared document). Communication received via WhatsApp, voice notes, or multiple separate email threads may be missed or delayed.

For Momentum tier clients, async access is available via the agreed channel only.

Confidentiality

All client information, content, strategies, and business details are treated with complete confidentiality. An NDA is available on request and is standard practice for Embedded and Momentum tier clients.
