Terms & Conditions

Please read these terms before we begin working together. They are not small print, they are the foundation of a clear, professional and enjoyable working relationship for everyone involved.

Confidentiality & Rights

One VA Solution will keep all work undertaken strictly confidential and will not use it for personal gain or promotion without the written consent of the client.

The business affairs of the client will not be discussed or disclosed to any third parties without prior written permission.

 

The client will be the legal owner and will hold intellectual copyright of all work undertaken by One VA Solution.

 

All images supplied by the client remain their responsibility with regards to obtaining the necessary rights for use. All images sourced by One VA Solution will be obtained with appropriate permission.

Payments & Billing

The initial 30-minute discovery call is complimentary and carries no obligation.

 

Final proofreading and checking of all work supplied is the responsibility of the client. Any errors must be reported within two working days of receipt. Errors made by One VA Solution will be rectified at no charge. Amendments or alterations requested by the client after delivery will be charged at the standard rate.

 

Where a project scope changes significantly from the original brief, One VA Solution reserves the right to renegotiate the fee and timeline before continuing. This applies equally to additional tasks requested during the course of an engagement.

  • Retainer packages are invoiced monthly in advance and are payable within seven days of invoice.

  • First-time clients will be invoiced in advance of work commencing.

  • Ad hoc and project work is invoiced on completion and payable within seven days.

  • Agreed hours within a retainer period may not be carried over to subsequent months without prior written agreement from both parties.

  • If hourly billing applies, a minimum invoice of one hour applies, with time rounded up to the nearest 15 minutes.

  • Billable time includes calls and meetings outside contracted hours, and written correspondence lasting more than a few minutes.

  • All postage, printing, and stationery expenses incurred on behalf of the client will be added to the invoice for reimbursement.

  • Payment is by bank transfer only.

  • Unpaid invoices will incur interest in line with UK government guidelines on late commercial payments.

  • Once an invoice becomes overdue, no further work will be undertaken until the account is settled.

Should a project be suspended or delayed through any default of the client, One VA Solution is entitled to immediate payment for work already completed and expenses incurred to that point.

Termination

Either party may terminate a retainer agreement with one month's written notice, sent to info@onevasolution.com.

In the event of a serious breach of these terms, either party may terminate the agreement immediately in writing.

 

Upon termination, One VA Solution will be paid in full for all work completed up to the termination date, in accordance with the agreed scope of work.

Location of Service

All services are performed and delivered virtually via email, telephone, video call, or other agreed digital means from One VA Solution's base in Oxfordshire, United Kingdom.

As your VA, I commit to the following:

  • To conduct your business affairs in a professional manner and avoid any behaviour that could bring your business or reputation into disrepute.

  • To operate on sound, ethical principles and communicate fairly and honestly with your clients, associates, employees, and suppliers.

  • To represent my skills, experience, and qualifications honestly at all times.

  • To respect the confidentiality of your personal and business practices and recognise your ownership of all intellectual property pertaining to your business.

  • To maintain high professional standards by staying current with developments in my industry and continually striving for excellence.

  • To keep all personal data safe, secure, and used only for its intended purpose, in full compliance with UK GDPR and all ICO regulations.

Office Hours & Communication

Office hours are Monday to Friday, 9:00am to 4:00pm. Email is the primary form of communication between the client and One VA Solution.

  • Phone calls are available during office hours only. Short calls of a few minutes are not typically billed. Calls lasting more than 10 minutes will be billed to the client.

  • All telephone meetings must be scheduled in advance.

  • Cancellations require a minimum of 24 hours notice. Missed meetings or late cancellations will be billed to the client.

  • Requests for services outside of standard office hours are subject to an additional charge of 50% of the standard fee, at One VA Solution's discretion.

Turnaround

Retainer clients are always given priority. If you know you need a consistent amount of support each month, or anticipate tasks needing attention within two working days, a retainer package is the right choice.

Turnaround times for ad hoc and project work will be agreed in writing at the point of briefing.

Data Protection & GDPR

One VA Solution is registered with the ICO and operates in full compliance with UK GDPR. Both the client and One VA Solution may hold on record such information as is reasonably necessary (for example, contact details and project records). Either party may request to view the other's records to ensure they are accurate, relevant, and up to date.
